Settings

Admin › Settings shapes how the application behaves for everyone. Each tab has its own Save, and a saved setting applies at once.

Settings

The first tab, from the top:

• Branding: your organization's logos, the default time zone, and the terms of service people accept.
• Auth settings: how many failed sign-ins pause an account and for how long, whether everyone must use a second factor, the roles and admin rights a new person starts with, and who receives security alerts and billing notices.
• Identity provider mapping, inside Auth settings: which claim names your sign-on provider sends, and which of its groups give which roles. With nothing mapped, single sign-on keeps working and changes nobody's access.
• System: how long pickup and transfer links stay valid, how many records a QR code lookup returns, and how long logs are kept.
• Map settings: the zoom levels where layers appear by default, and the icon library every layer draws from.
• Catalog settings, and the settings of the other modules your organization licenses.
• Quarantined files: files the upload scanner held back, to review and delete.
• Photo tags: tags the photos already stored on items and activities, in the background.
• AI: the assistant's provider and model, chosen from those your deployment has configured, and a lookup that turns a pseudonym in an AI log back into the record it stands for.
• Environment: the configuration this deployment runs with and where each value comes from, read only.
• Licence: the licence term and the seats in use.

Reset to defaults restores every setting on this tab after asking.

Templates

Document templates print a record as a letter or form. Each template names the kind of record it prints, a page size, a language and a body with the record's fields merged in. The template window lists your templates on the left, and Preview renders the one on screen as a PDF.

Records retention

How long deleted records are kept before they are removed for good, per kind of record. Lowering a period removes records on the next weekly sweep. Saving shows how many records each change affects and asks you to confirm.

Environment

Where your deployment allows it, this tab edits settings of the deployment itself: the sender name and address for email, a custom email domain, how long sign-in tokens last, AI spending limits and single sign-on providers.

Closing the deployment

Danger zone, the last section of the first tab, sends a request to close this deployment. It asks you to confirm, and it can be sent once a day.
